Auto-complete Email Addresses in Outlook

Microsoft Outlook has long been able to suggest recipients as you begin to type an email address into your message. This auto-complete feature draws its information from your default address book, from email you’ve sent and from email you’ve replied to.

Sometimes, auto-complete seems to forget this information and needs to be rebuilt. This is usually the result of moving to a new computer but can also be caused by updating Outlook or rebuilding your address book.

Either way, auto-complete isn’t working any more and you want it back. By following the steps below you can make auto-complete work again:

  1. Open Microsoft Outlook and create a new email message
  2. Click on the “To” button (to the left of where you enter the recipient’s email address)
  3. The above should open your default contact list, click on the first name in the list
  4. Use the scroll bar to scroll to the bottom of the list
  5. Hold down the SHIFT key and click on the last name in the list, all contacts should be highlighted
  6. Click on the “To” button to add all contacts to the “To” field, then click on the “OK” button to exit
  7. All selected contacts have been added as recipients of your email message – DON’T PANIC!
  8. Click on any of the email addresses and press CTRL + A to select all email addresses
  9. Click on “Check Names” toolbar icon to add all selected recipients to your auto-complete list
  10. Close the message so you don’t accidentally send a blank email to everyone

epeat these steps as necessary for each address book or contact list you have. If you do not have Outlook, most email clients will also rebuild their auto-complete lists as you send (or reply to) email. In some cases replying to an email will update the auto-complete information for that individual.
